Gallery Receptionist – Accepting Applications

General Description

One of the largest square footage art galleries in Alberta, the Art Gallery of Grande Prairie’s Mission is “Enriching the community through the creation, conservation and sharing of art.” We offer free admission, tours, programs, and activities for all ages. The Art Gallery presents an average of twelve art exhibitions per year and welcomes thousands of visitors annually. It holds a collection of mid-century artworks of roughly 850 pieces, mostly from the Peace Region in Northern Alberta.

Position start date:  Flexible to suitable candidate

Work Schedule:  Tuesday – Saturday

Hours:  35 hours per week

Wage:  $17/hour

Term:  1 year contract

 

Reporting to the Gallery Administrator, the Gallery Receptionist has responsibility in being the first point of contact for callers and visitors to the Gallery. They’re also a key support in organizing and archiving documents, both paper and digital material, for multiple departments and programs.

 

Specific Duties

Reception Desk / Visitor Experience

  • Working from the front reception desk, aim to create a welcoming, friendly, and professional environment for guests and visitors of the Gallery.
  • Answer a wide range of general questions from visitors, in person, by phone and email. As required, forward them on to the appropriate staff/departments.
  • Maintain a fundamental level of knowledge about the Art Gallery’s history, exhibitions, and programs.
  • Receive payments for program registration or membership fees and issuing receipts according to gallery policies.
  • Maintain lobby and reception desk tidiness, keeping area organized and replenish public information and literature displays.
  • Monitor the safety and security of exhibitions by video surveillance.
  • Perform opening and closing procedures as specified.
  • Training will be provided.

 

Administration

  • A key support in organizing and archiving Gallery documents, either digitally or a paper filing system. This will include documents related to multiple departments, mainly Administration, Marketing, historical archives, and the Permanent Collection.
  • Sorting and labelling files for file cabinets and/or boxing up paper files for offsite storage.
  • Scanning documents to create digital copies.
  • Assisting with data entry for program statistics that support follow up reports for active funding grants and sponsorships.
  • Provides administrative support for other departments when necessary (letters, labels, mailouts, etc.)
  • Other related duties as assigned by the Gallery Administrator or the Executive Director.

 

Skills and Abilities

Required

  • Strong customer service and office administration skills.
  • Excellent filing and organization skills related to sorting and archiving information.
  • The ability to work independently and as part of a team and to respond to changing priorities.
  • Excellent verbal communication, writing / editing, organizational, creative thinking, problem solving and interpersonal skills.
  • Flexible, discreet, and able to maintain confidential information, knowledge of correct protocol for specific situations.

 

Assets

  • Demonstrated ability to adequately use Microsoft Office applications, primarily Word and Excel.
  • Demonstrated passion for the Arts and for life-long learning.
  • Knowledge of social media marketing and an understanding of Web-based writing and communications.
  • Demonstrated high energy level and flexibility, pleasant persona coupled with sound judgment.
  • The ability to work well in a multi-ethnic and multi-cultural environment.

 

Qualifications

A Certificate or Diploma in Art History, Office Administration, Communications, Fine Arts, Museums Studies, or other related discipline, along with at least two years of related experience in a customer service position, or equivalent education and experience.
